Although the March database did address many of our requests for change/transfer, etc., it did not clear up everything we had requested. The OFCs must be sure that they get their forms requesting change to me as early in the month as possible, as our cutoff date to make changes in the next month's database is the 12th of the month. You must give me time to get the forms signed, etc. and sent in to Terri Zender. She must then research the request, sign and turn over to Jim Davis for approval. There goes at least 3-4 days alone. I guess we OFCs should think that our real cutoff date is more like the first week of every month. Sorry, but the process is just too complicated to work efficiently.
I continue to call Terri and Brad Skinner (also of 7312) to request action on our many requests for space. Our two "Hot Buttons" are still unanswered after months and months. These are space for the 13411 computer folks who are living in 2000 space in Bldg. 891 and space for the three radio folks from 13914 who are still in space from their former organization in 957. We are hearing from both 2000 and the folks who want us out of 957 almost weekly - the temperature keeps going up. Unfortunately, my only recourse is to bug Facilities - but so far to no avail. I understand from Terri that some decision was made late on Friday. I expect to hear something either Monday or Tuesday.
What's New
I have been working with the new space database in Access for the LAN which is almost ready to be open to all OFCs. Because we will not be able to refresh this database from the disk I get each month from Facilities, it will be the responsibility of each Center's OFC to be sure the information is brought up to date, if necessary. As there will always be some kind of movement or change in this data, we are hoping for about a 95% accuracy for any particular month. There is still a lot of work to be done with this data - as we are still in the process of setting up CSUs and TCCs which show up in some strange organizations in the Facilities database. I have spoken to them and given them information as to where these facilities should be listed - but so far they are still popping up in unknown organizations.
Another use for this LAN database will be to check space size. At present we are struggling to fill all space requests we receive. However, in some cases, there are individuals occupying more space than is listed for their particular classification or who have spread out to occupy more space than is necessary. Also there is some space that is incorrectly classified and therefore the charge for this space is incorrect. As soon as possible, the OFCs will be doing an analysis of the space within their Centers and providing reports to their Directors.
The Space Management Process Improvement Team (PIT) continues to meet weekly. A customer survey was sent out in conjunction with one from the Space Chargeback PIT. This coming week we will be analyzing the data received back from Division AA s and OFCs.
